Old Process

The future of government shouldn't involve a fax machine.

Prior to utilizing the SeamlessDocs platform, the business license application could either be submitted in hard copy form, or scanned and emailed to the City. Certain types of businesses are also required to provide additional documentation such as certain types of licenses or permits. All of these documents were then compiled by city staff and provided to the Assistant City Administrator in paper form for approval. If the applicant was applying for a new license within city limits, it also required a building and fire inspection prior to approval. This meant that the applications then were scanned and emailed to both the City's building inspector and fire inspector, and then placed in a file awaiting approval until those inspections were completed. Once all inspections were completed and proper documentation was received, the Asst. City Administrator would sign and approve the business license application, which would then be given back to administrative staff to process. Processing the application involved entering all of the information into a spreadsheet, and placing a hard copy of the application and supporting documentation in a binder to be stored for future reference. They would then mail the actual business license to the applicant. This whole process could take weeks and lots of staff time before it was completed.

New Process

In minutes we were able to convert the existing process into a smart online experience.

Now all applications are submitted, paid for, and approved electronically, alleviating the need to have piles of paper around and keep track of who has paid for their license and who hasn't. Additionally, there is no need to compile all of the supporting documents and enter all of the information into a spreadsheet and then place the hard copies into a binder. All of the documentation is saved in SeamlessDocs platform for easy access at the click of a mouse. Additionally, the customer is receiving notification as soon as their license is approved, which is improving the customer's experience and reducing the amount of calls we get at City Hall regarding when someone can expect to receive their business license.
