Old Process

The future of government shouldn't involve a fax machine.

This is the form an owner of a property completes to request a change to parking nearby. I.e. If a business owner wants to have a loading zone parking space designated, they would complete and submit this form. 

It went first to our code enforcement officer for review, then for an initial review by the engineering department. If the engineering division approves of the initial application, the form and all materials (map, measurements, photo, etc.) would then go to each of the following departments/divisions for comment: Police, Fire, Streets, Parking, Engineering final review. Materials were usually delivered via interoffice mail. 

At any given time, no one would know exactly where the application & materials were in the process. The packet could be sitting on a desk for weeks if no one followed up on the request.

New Process

In minutes we were able to convert the existing process into a smart online experience.

The applicant completes the form, uploads necessary attachments (photo, map, measurement/drawing, certificate of liability if necessary), and submits to the code enforcement officer for initial review. The Code Enforcement officer acknowledges receipt, then it goes to engineering for approval to move forward in workflow (or denial if it doesn't qualify.) A police representative is notified and adds comments, then fire, then streets, and then parking. When the parking division adds comments, the packet goes back to engineering for final approval/denial, or is added to a city commission agenda if their approval is required based on city ordinance.

By making the process smart we enhanced the experience while saving valuable time and money.
