Old Process

The future of government shouldn't involve a fax machine.

The City passed an ordinance that allowed citizens to complete an application for certain services, which necessitated two-way communication between Austin's citizenry and certain departmental SPOCs. As the ADA Manager, David was designated as the first point of contact in the process. That meant that all applications were initially routed to him and, following an eligibility process, he pushed those applications to the appropriate departmental SPOC based on the requested service.

Prior to implementing SeamlessGov, Austin was utilizing a fillable PDF form, which required that the City maintain a distribution list of all departmental SPOCs, attach application to an e-mail, manually track the applications and enter all data associated with those applications by hand.

New Process

In minutes we were able to convert the existing process into a smart online experience.

SeamlessGov automated the entire process into a 508 & ADA compliant online service. Through SeamlessGov, all form fields are already properly tagged and the form is therefore accessible to screen-reading technology users, both citizen and staff. This is especially important as the law requires that municipal government services be accessible to all, including people with disabilities.

In addition, the form offers users the ability to easily adjust the font size and translate the form into 100+ languages. These features allow the vision impaired and non-English speakers, respectively, to request the accommodations that they need. Citizens can now complete the form and immediately submit it, routing it to the correct person, David.

David is then able to easily access the form, determine the request and very quickly route it to the appropriate departmental SPOC, which is especially important as there are deadlines associated with the City’s response.

Finally, The City is required to maintain and report data associated with the ordinance and the SeamlessGov system maintains a database of program activities.
