Old Process

The future of government shouldn't involve a fax machine.

The old process used a Microsoft Word file. Employees would fill it out, save it, and forward the file to their department head via email for approval. After their department head signed off on the request, it then had to be signed by both the Director, as well as the City Manager.There were a few obvious issues with this. One was that the data was collected on a notoriously clunky word processor that is not optimized for collecting input by multiple users. Another was that all the information was stored in a single file, just waiting to be corrupted, lost, or accidentally deleted. Finally, the fact that three different people had to sign off on the form meant that it sat in each inbox for longer than necessary before the request was approved or denied.

New Process

In minutes we were able to convert the existing process into a smart online experience.

The Time Off Request form is filled out online and submitted instantly. The requestor is notified of the status of the request form as it passes to each approver. Upon final approval or denial, an email is generated notifying the employee of the outcome.
