Q&A with this municipal champion

How did you get involved with local government?

When I first moved to Tamarac from NY, I was searching online for jobs and found this opportunity to be a Technical Support Specialist for the City of Tamarac. I applied, got a callback, and was offered the job -- I feel very lucky! Previously, I had provided similar desktop support & help desk services for companies in New York. I worked for a fashion company, market data companies, stock trading companies, insurance companies, various other companies -- always in a tech support capacity.

How did you first hear about SeamlessGov?

When I started at the City of Tamarac -- it must have been my first or second day working here -- my boss James pulled me aside and told me he wanted me to get familiar with SeamlessDocs. The City already had a subscription of the platform, but hadn't rolled it out yet when I started working there. My task was to convert internal forms, as well as citizen forms. I was given a form to test SeamlessDocs on, and when we saw how much that improved the process, we started looking for forms throughout the city to convert into SeamlessDocs. Since then I've become the SeamlessDocs guru!

Why did you decide to go paperless?

The City rolled out SeamlessDocs in order to reduce excessive paperwork & better service the City's residents and employees. It has been a privilege to implement it, and see the difference going paperless makes. We're not wasting as much paper anymore, and we're creating more convenient and accessible services for our residents.

What was implementation like?

Implementation was fairly straightforward. Automating my first form allowed me to learn the capabilities of the SeamlessDocs platform. Then, Marjorie and I helped bring SeamlessDocs to other departments. Getting other departments to go digital was fairly simple -- even though most departments were used to old processes, everyone who saw the SeamlessDocs system loved it. Now, Department Heads and Executive Administrators are on-board -- each department has at least 2-3 forms converted with SeamlessDocs!

One form or process that's been changed by SeamlessGov?

We started with a community development form, the Application for Home Assistant & Home Rehabilitation Program. It was a form that residents within Tamarac fill out and it goes through a lottery process. The lottery winners get their home rehabbed at no cost -- the city funds the rehabilitation. Prior to SeamlessDocs the City of Tamarac residents would print out the form online, and form a long line outside of City Hall just to get form submitted. We would get over 200 applications, and then the form would have to go through the process of manually getting chosen. Once we brought the process into SeamlessDocs, residents could fill out the form from home, the form was routed via email to the Community Develop Department, and they only have to print out the applications that get chosen.

Favorite SeamlessGov Feature?

There are so many to choose from! I like the build a web form option and I've noticed a lot of new features within build a form. Another feature we like is the upload files option, which allows residents to take a picture from their smartphones and upload it with a form. Another great feature is the conditional notifications, which make the form look so much neater when you choose an option and it gives you a drop-down. Enable conditional (show/hide) -- that's what it's called!

Advice for another municipality just starting out with SeamlessGov?

Start with something small. Start with a simple form whose purpose is to collect information from residents or from employees. Every department has these straightforward forms: Parks & Recreation, Public Services, Fire Rescue, City Manager. Starting small will help you with quick wins, and make it easier to manage submitted forms and locate a form instead of going through paper and files. Once your departments gets exposure, then you can start digitizing more complex forms. But start small!
